1. General & Service Scope

What is a Remote Executive Assistant, and how does the role differ from traditional administrative assistance?

Executive Assistant is high-level operational assistance tailored specifically to executive priorities and business leadership. While traditional administrative assistance focuses on routine, task-based assignments, executive support acts as an operational extension of leadership anticipating obstacles, managing complex stakeholder communications, aligning schedules with strategic priorities, and driving key projects forward.

As a business grows, founders and CEOs often remain involved in too many recurring operational tasks. Scheduling, email communication, meeting preparation, research, coordination, and follow-ups can gradually take time away from decisions and responsibilities that genuinely require leadership attention.

Dedicated executive support creates additional capacity by taking ownership of suitable recurring work, maintaining follow-through, and helping prevent important tasks from being delayed or overlooked.

There is no single company size or growth stage at which executive support becomes necessary. The decision is better based on operational signals.

It may be time to consider support when:

  • recurring administrative and coordination work takes up a significant part of the founder’s week;

  • important follow-ups depend on the founder personally;

  • emails, meetings, or routine decisions regularly interrupt focused work;

  • projects slow down because no one owns the coordination;

  • the company needs additional capacity but is not ready to hire a full-time employee.

Remote executive support can be useful both during periods of rapid growth and when an established business needs a more structured way to manage recurring operational work.

A Remote Executive Assistant is a human professional who supports the executive and the wider business remotely.

AI and automation tools may be used to speed up research, organize information, prepare initial drafts, or improve recurring workflows. However, communication, judgment, quality control, and responsibility remain with the human professional.

This combination allows businesses to benefit from modern technology without removing human oversight from important operational work.

A Remote Executive Assistant delivers high-level operational support that keeps your business moving forward without the friction, overhead, or recruitment cycle of a traditional executive hire.

By taking full ownership of cross-functional coordination, partner and client communication, meeting preparation, and key operational follow-ups, your assistant acts as a true execution partner. This reduces the number of operational details that depend directly on the founder or executive, helping them reclaim 15+ hours per week for leadership, growth, and higher-value work.

Yes. Executive support can include coordinating projects that involve several teams, contractors, suppliers, or external partners.

A Remote Executive Assistant may track deadlines and dependencies, collect status updates, organize project information, document decisions, follow up on assigned actions, and prepare progress summaries for leadership.

The assistant supports coordination and follow-through, while strategic decisions and specialist responsibilities remain with the relevant leaders and team members.

Both options can be valuable, depending on the type and level of support the business requires.

A freelance virtual assistant may be suitable for completing a defined set of administrative tasks. SEWANO provides broader, business-minded support across executive work, operations, communication, research, and project coordination.

We look beyond individual assignments to understand how the work fits into the wider business. This may include building more efficient workflows, introducing and implementing modern digital tools, documenting recurring processes, creating SOPs, and improving how information, responsibilities, and follow-ups are managed.

The goal is not simply to complete tasks as they arise. It is to create structured, reliable support that improves day-to-day execution, reduces operational pressure on leadership, and adapts as the needs of the business evolve.

We specialize in high-level executive support, strategic calendar alignment, project coordination, and operational management. We do not provide receptionist services or continuous high-volume telephone coverage. Businesses that require dedicated inbound call handling would usually be better served by a specialist receptionist or customer contact provider.

2. Tools & Technology

Do your Virtual Executive Assistants use AI tools?

Yes. We combine human judgment with modern AI, automation, and digital workflow tools to make recurring work faster, more consistent, and easier to manage.

Depending on the business and the task, these tools may support research, information organization, meeting preparation, document creation, reporting, data entry, follow-ups, and recurring administrative processes. We can also help identify inefficient workflows, introduce suitable tools, and implement practical systems and automations where they add real value.

AI does not replace human responsibility. Outputs are reviewed, communication remains under human oversight, and sensitive or business-critical decisions are handled with care by your dedicated Remote Executive Assistant.

Yes. Providing a company email address is often recommended when the assistant regularly communicates with clients, suppliers, partners, or internal team members on behalf of the business.

It allows the assistant to operate as an integrated part of the company, maintain professional and consistent communication, and keep business correspondence within the organization’s systems.

If the assistant also needs to support an executive’s inbox, this can be arranged through appropriate delegated access and clearly defined permissions. Access levels are agreed upon based on the assistant’s responsibilities, the company’s security requirements, and the information needed to perform the work.

Yes. We adapt to the tools and systems your business already uses, including communication platforms, project management software, CRM systems, cloud storage, documentation tools, and AI-enabled applications.

During onboarding, we review how work is currently managed and identify the platforms relevant to our responsibilities. Whenever possible, we integrate into your existing setup rather than introducing unnecessary new software.

If you would like to improve your existing operations or introduce new tools and systems, we can recommend suitable solutions and support their implementation based on the needs of your business.

Yes. Our support can extend beyond completing individual tasks to improving how recurring work is organized and executed.

We can document existing processes, create practical SOPs, define responsibilities and handover points, build repeatable workflows, and identify steps that may be suitable for automation. Where appropriate, we can also help implement new tools or automated processes and ensure they fit into the company’s day-to-day operations.

The aim is to reduce unnecessary manual work, improve consistency, and create systems that remain clear and usable as the business grows.

Access is provided according to the responsibilities of the Remote Executive Assistant and limited to the systems and information required to perform the agreed work.

We follow the client’s internal security policies and establish appropriate permissions during onboarding. Where possible, access is managed through individual user accounts, delegated permissions, password management tools, and multi-factor authentication instead of shared login credentials.

Confidentiality, data privacy, access requirements, and responsibilities are also defined in the service agreement. If access is no longer required or the cooperation ends, permissions can be reviewed and revoked as part of a structured offboarding process.

3. Communication & Availability

How quickly can I expect my Remote Executive Assistant to respond to requests?

During the agreed working schedule, you can generally expect a response within an hour. This is an average response time rather than a fixed guarantee, and urgent requests can be flagged through the agreed communication channel.

During onboarding, we define the primary communication channels, working hours, expected response times, and a clear process for identifying urgent requests. This ensures that both routine and time-sensitive matters are handled according to agreed priorities.

Daily communication takes place through the platforms your business already uses, such as Slack, Microsoft Teams, email, or another agreed communication channel.

We adapt the communication structure to your preferred way of working. This may include direct messages, task updates, shared project boards, written progress summaries, and regular check-in calls. Priorities, open tasks, deadlines, and follow-ups are kept visible so you do not need to repeatedly ask for updates.

The aim is to maintain clear and reliable communication without adding unnecessary meetings or interruptions to your day.

Remote Executive Assistants generally work during the business hours agreed with the client. Working schedules, time-zone requirements, availability, and communication expectations are discussed before the cooperation begins.

Support outside the regular schedule may be arranged in advance for important meetings, business travel, launches, events, or other time-sensitive situations. Regular weekend, or extended-hours coverage is not included by default and must be agreed upon separately.

4. Onboarding & Contracts

How long does the onboarding process take, and how soon can we start?

Our onboarding process typically takes up to 9 business days after the agreement is signed.

During this period, we clarify responsibilities and priorities, establish communication and reporting routines, arrange access to the required tools, and collect the information needed for a smooth handover. Where necessary, we also begin documenting recurring processes and creating practical workflows.

The purpose of onboarding is to ensure that your Remote Executive Assistant understands how your business operates and can begin providing structured, effective support from the start.

There is no long-term lock-in during the first 50 days of the cooperation.

This initial period gives both parties time to establish effective workflows, refine responsibilities, and evaluate how well the service fits the needs of the business. If both parties decide to continue, the cooperation proceeds under the standard ongoing engagement terms agreed in the service contract.

Our minimum engagement starts at 15 hours of support per week and is provided through a monthly retainer.

This provides consistent weekly capacity to keep recurring responsibilities, operational tasks, and follow-ups moving forward without requiring you to manage every detail or repeatedly reassign individual tasks.

If your business requires broader availability or support across multiple functions, we can create a larger monthly engagement based on your workload and priorities.

5. Services & Delegation

What tasks and responsibilities can I delegate to a Remote Executive Assistant?

You can delegate a broad range of recurring executive, administrative, and operational responsibilities that keep your business moving forward.

This may include calendar and inbox management, meeting preparation, travel planning, research, stakeholder communication, document creation, project coordination, task tracking, reporting, vendor sourcing, customer follow-ups, and process documentation and much more.

The exact scope is tailored to your business, priorities, and existing team structure. As the cooperation develops, additional responsibilities can be introduced where further support would create value.

Strategic calendar management is not limited to scheduling meetings. It helps structure your time around business priorities and reduces unnecessary interruptions throughout the working week.

Your Remote Executive Assistant can review meeting requests, coordinate availability, resolve scheduling and time-zone conflicts, protect time for focused work, and allow appropriate buffers between commitments. They can also collect relevant information and prepare briefing notes for important meetings where required.

The result is a more organized schedule that supports your priorities instead of competing with them.

A Remote Executive Assistant can provide the structure and follow-through needed to keep projects moving across teams, contractors, suppliers, and external partners.

This may include turning meeting outcomes into actionable tasks, recording responsibilities and deadlines, maintaining project boards in tools such as Asana, ClickUp, or Notion, collecting status updates, following up on outstanding actions, and preparing progress summaries for leadership.

The assistant supports visibility, coordination, and accountability, while project ownership and specialist decisions remain with the appropriate leaders and team members.

Your Remote Executive Assistant can coordinate business travel from a single meeting to a multi-city international itinerary.

Support may include researching and booking flights, accommodation, and ground transportation, coordinating meeting locations, checking visa and entry requirements, making restaurant reservations, and organizing the relevant details in one clear itinerary.

Travel preferences and company policies are documented so future arrangements can be handled more efficiently. If plans change, your assistant can coordinate the necessary updates and help minimize disruption to your schedule.

Yes. Personal administrative tasks can be included when they directly support the executive’s schedule and overall capacity.

This may include personal travel arrangements, appointment scheduling, gift sourcing, family calendar alignment, reservations, and communication with selected service providers.

The scope and boundaries of personal support are agreed in advance, allowing both business and relevant personal logistics to be managed clearly and discreetly.

Our primary working language is English, which we use for international communication, documentation, workflows, and day-to-day business operations.

We currently also provide support in Hungarian and Slovak. We are working to expand our language capabilities so that we can offer Remote Executive Assistant support in more European languages in the future.

Language requirements are discussed before the cooperation begins to ensure that we can provide the appropriate support for your business.

Your support can evolve as your workload, priorities, and business requirements change.

Responsibilities can be added, adjusted, or reorganized as new projects and operational needs arise. If you require additional capacity or support across further business functions, the scope and retainer can also be reviewed and expanded by mutual agreement.

This allows the service to remain relevant as your company develops without requiring you to define every future responsibility at the beginning of the cooperation.

6. Pricing & Engagement

What does your pricing structure look like?

Remote Executive Assistant support is provided through a fixed monthly retainer, giving your business predictable costs and consistent weekly capacity without the employment costs and recruitment process associated with a full-time hire.

Our minimum engagement starts at €1,200 per month and includes 15 hours of support per week. If you require additional capacity or broader support across multiple business functions, we can prepare a larger engagement based on your workload and requirements.

Our Remote Executive Assistant service starts at €1,800 per month.

This includes 15 hours of support per week, totalling 60 hours per month.

We take operational work off your plate, manage your day-to-day priorities, and provide outstanding support so you have more time and focus for the work where you create the most value.

Yes. A one-time setup fee of €250 covers matching your business with a suitable Remote Executive Assistant, their onboarding, and the initial setup of the service.

Yes. Every engagement begins with a clear service agreement outlining the scope of support, confidentiality, data protection, communication expectations, and key terms ensuring transparency and peace of mind for both parties from day one.

There is no long-term lock-in during the first 50 days of the cooperation.

This initial period allows both parties to establish effective workflows, refine the scope of delegated responsibilities, and evaluate whether the service is the right long-term fit. It is an active onboarding and working period rather than a free trial, and the standard service fees apply.

7. Local Business Support Hungary

I see that you support international companies operating in Hungary. How does this work?

We support international companies that need local assistance in Hungary without establishing a permanent office or hiring a local employee.

Our Executive Assistants can help coordinate local operations, communicate with Hungarian suppliers and partners, arrange meetings, research local providers, support business visits, and handle practical tasks that require local knowledge and language skills.

This allows international companies to operate more efficiently in Hungary while having a reliable local point of contact.

Yes. We can manage communication and follow-ups with Hungarian partners, suppliers, service providers, and other local stakeholders on behalf of your business.

We can also research companies, suppliers, competitors, pricing, and relevant market information, then organize the findings into a clear summary to support your next steps.

The scope is tailored to your objectives, whether you need support with a specific project or ongoing business activities in Hungary.

Yes. We can provide both practical coordination and in-person local support before and during your visit.

In addition to arranging accommodation, transportation, meetings, and schedules, we can accompany you to banks, government offices, supplier meetings, and other local appointments. We can also assist with Hungarian-language communication and interpretation, helping you navigate local processes and communicate more effectively.

With the practical details and local communication covered, you can focus on the purpose of your visit and the decisions that require your attention.
